Design. Build. Run.

Every engagement starts the same way: we figure out how your business should run. From there, you choose how far we go.

Every engagement starts the same way: we figure out how your business should run. From there, you choose how far we go. Some clients want a system built and handed over. Others want us to keep running the back office long after launch. Both work, because it's one team end to end.

Starting over isn't a requirement either. If you have systems that already earn their place, or legacy tools you can't replace yet, we consolidate and improve what you have and build around what stays.

Design

We map how your business should run

Before anything gets built, we work out what's actually broken. We audit your tool stack, map your workflows, and find where time, money, and information are leaking.

  • Workflow and process mapping: intake, delivery, handoffs, invoicing, follow-up
  • Tool stack audit: what to keep, what to replace, what to cancel
  • Consolidation and improvement of existing systems, including the legacy tools you need to keep
  • A written proposal with fixed scope and fixed price. No surprises.

Design is where every project starts, and the discovery conversation is free.

Build

We build the system your business runs on

One connected workspace instead of five disconnected tools. We build on Notion as a Notion Certified Solution Partner and member of the Notion Experts Program, holding Notion's Service Specialist, Advanced, and Certified Admin credentials.

Notion is our specialty, not a requirement. When a tool you already rely on is doing its job, we keep it, improve it, and connect it rather than force a migration.

Back Office Foundations

$2,500

Workspace setup, three core databases, a recorded training session, written documentation, and two weeks of post-launch support.

Best for solopreneurs and small teams getting out of scattered docs.

Back Office Business

$5,000

A full build: CRM, project management, workflows, automations, two recorded training sessions, documentation, and two weeks of support.

Best for established small businesses consolidating their tools.

Back Office Complete

$7,500+

Enterprise-grade architecture with integrations (Zapier/Make, calendar, email), SOPs, custom automations, three recorded training sessions, and 30 days of support.

Best for growing businesses that need a robust operational backbone.

Beyond the workspace, Build also covers Google Workspace and Microsoft 365 setup, cloud infrastructure including compliance-aware builds (HIPAA), and the integrations and automations that connect the tools you keep.

Project work outside packages is $150/hour, with a $120/hour community rate for South Lake Tahoe locals and non-profit organizations.

Run

We keep it running

A system is only half the answer. Someone still has to work it: send the invoices, reconcile the books, manage the calendar, answer the enquiries, keep projects and suppliers moving. For most small businesses that someone is the owner, at night.

We take that over. Ongoing administration delivered inside the system we built for you:

  • Bookkeeping and invoicing, with Xero Certified Advisor expertise
  • Inbox and calendar management, scheduling, enquiry handling, and travel planning
  • Operations and project coordination: suppliers, deadlines, events, and follow-through
  • Client-facing support, so your clients get a polished experience while you're heads-down

Run engagements are ongoing monthly arrangements scoped to your business. And because we built the system underneath, the admin gets faster and cheaper over time, not slower and more expensive.

Ongoing system support retainers start at $500/month.

What we don't do

We're not a managed IT provider. No helpdesk, antivirus, backups, or break-fix support. We design and build your systems as a project, and if you want ongoing help, it's the Run layer above: administration and system evolution, not tech support.

That said, we won't leave you searching. Finding a support team you can trust is one of the hardest parts of running a small business, so if you need managed IT we'll refer you to a trusted supplier and coordinate the handoff.

Why one team matters

When the people running your admin are the same people who built your system, three things happen. Problems get fixed at the source instead of worked around. The system improves every month, because we feel the friction ourselves. And nothing falls in the gap between "the tech person" and "the admin person," because there is no gap.
